Job Specification: Property Administrator
Location: Midrand, Johannesburg.

Job Purpose
To provide comprehensive administrative and coordination support for property and facilities management operations, ensuring efficient service delivery to clients, tenants, and property owners. The role supports maintenance coordination, lease administration, financial processing, and client communication within a multi-property service provider environment.
Key Responsibilities
1. Client & Tenant Administration
Manage day-to-day communication with tenants, landlords, and property clients
Handle incoming service requests, queries, and complaints professionally
Maintain accurate tenant and property records across all systems
Assist with onboarding new tenants and client handovers
2. Lease & Contract Administration
Prepare, issue, and file lease agreements, renewals, and addendums
Track lease expiry dates and notify management in advance
Ensure compliance with lease terms and service agreements
Maintain digital and physical contract filing systems
3. Maintenance Coordination
Log and manage maintenance requests from clients and tenants
Coordinate with approved contractors and service providers
Track job progress from initiation to completion
Ensure service level agreements (SLAs) are met
Follow up on outstanding or delayed maintenance tasks
4. Financial Administration
Process invoices, quotations, and supplier documentation
Assist with monthly billing and rental collections support
Follow up on arrears and outstanding payments
Assist in reconciling property-related expenses and reports
Maintain accurate financial records for audit purposes
5. Property Operations Support
Assist property/facilities managers with site administration
Schedule inspections, compliance checks, and routine visits
Maintain health & safety documentation and compliance files
Support reporting for multiple properties under management
6. Reporting & Documentation
Prepare weekly and monthly operational reports
Update property management systems and databases
Maintain audit-ready records for all properties and clients
Assist in compiling performance and service delivery reports
Minimum Requirements
Education
Matric (Grade 12) essential
Certificate/Diploma in Property Management, Business Administration, or Facilities Management (advantageous)
Experience
1–3 years’ experience in property administration, facilities coordination, or office administration
Experience in a service provider or multi-client environment is highly beneficial
Skills & Competencies
Strong organizational and coordination abilities
Excellent communication and client service skills
Ability to manage multiple properties and priorities simultaneously
Strong attention to detail and accuracy
Extensive experience with MRI/MDA software is essential
Proficiency in Microsoft Office (Excel, Word, Outlook)
Experience with property or ticketing systems (advantageous)
