Engineering Executive Assistant- Sterling Heights-Late June Start
Duration/Schedule: 3 months to possible direct
Job Description: Position involves high degree of confidentiality and conformity. Must be able to perform advanced secretarial, administrative, and analytical duties under limited supervision. Committed to professionalism, highly motivated and must contribute to the overall synergy of the management team by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Supports Director of Engineering and Engineering Management staff as required, including travel, monitoring, and approving timesheets.
• Create, coordinate, and review Engineering Departments Purchase Requisitions for all Computer Equipment, Software purchases, Software Maintenance Renewals, Training, and items purchased for the Engineering Departments. Maintain records and tracks all purchases.
• Create Service Releases in TeamCenter for all outsourced engineering including Mechanical Design, Engineering Services, Simulation, Systems Layout and Processing. Track and record all requisition's processed.
• Analyzes and prepares statistical reports for specific department activities including but not limited to timesheets, measurables & engineering charts.
• Coordinate the annual R&D Tax Credit Audits. Organize, schedule interviews, track progress, deliver backup data to auditors.
• Organizes office operations and procedures such as filing, stocking supplies and other clerical services as required. Keeps kitchen areas stocked and orders lunches for department meetings (when applicable).
• Oversees facility maintenance requests, relating to the Engineering department offices.
• Compose and type confidential correspondence, memos, presentations, and reports.
• Maintains Engineering Organizational Chart, seating chart and Emergency Evacuation Roll Call List.
• Process and track completion of PARS.
• Coordinate with IT and HR with the on boarding and off boarding processes. Submit helpdesk setting up new employee accounts or disabling them, setting up computers, ensuring all required paperwork has been submitted properly.
• Review & maintain accuracy of Engineering Job Descriptions.
• Maintains equipment for engineering staff. (Printers, plotter)
• Assists in the preparation and development of customer Buy-off books (when applicable).
• Understands and follows safety & environmental regulations and identifies safety/environmental concerns in Client's facilities as well as in the customer's facilities.
• Adheres to the Quality System and participates in continuous improvement.
• Regular and predictable attendance is an essential function of this job.
EDUCATION and/or EXPERIENCE
Bachelor's degree (B. S.) from a four-year college or university; or two to four years related experience and/or training; or equivalent combination of education and experience. Preferred Bachelor's degree (EE, CS)
