We have an exciting opportunity with one of our clients in Palo Alto. Our client is seeking a Senior Administrative Assistant/Personal Assistant with a strong administrative background who is both a strategic and tactical thinker with excellent communication skills.

You will be essential to ensuring efficiency, organization, and seamless day to day office operations. Not only are you excellent at what you do, but you also possess an innate ability to handle multiple responsibilities with grace, precision, and professionalism. You are proactive, results oriented and have a natural ability to think outside of the box. Your role will be crucial in supporting a high-level executive in their daily tasks and ensuring their success. This office unites individuals from multiple companies who collaboratively work to make the world a better place.

Location: Palo Alto
Opportunity Type: Temporary to Hire
Hours: Monday – Friday 10am-6pm On Site
Pay Rate: $35 per hour on a temp to hire basis

Some responsibilities will include, but are not limited to the following:
▪️Administrative tasks from answering phones, responding to emails and handling correspondence, managing the executive’s calendar, coordinating with the EA to CEO to schedule meetings, travel arrangements, etc.
▪️Organizing and facilitating meetings, including setting agendas, taking minutes and ensuring all necessary materials and technology setups are prepared.
▪️Overseeing projects from initiation to complete, ensuring deadlines are met and objectives are achieved. This can involve coordinating with other staff members and managing project-related documents and reports.
▪️Managing expenses for the office, including budgeting, expense reports and sometimes overseeing billing and accounting activities including filing.
▪️Handling sensitive information with discretion and ensuring that confidentiality is maintained in all aspects of work.

Qualifications:
▪️2+ years of recent long-term professional experience in an sr. administrative assistant position.
▪️ Bachelor’s Degree or an accredited 4-year College or University
▪️Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external team members
▪️ Strong verbal and written communication skills
▪️Ability to handle confidential information professionally
▪️Knowledge of Mac OS, Microsoft Outlook, Excel, PowerPoint and Word and a range of presentation software

We are excited to share that we are hiring an Office/House Manager for one of our high-profile clients in Los Altos. This client is truly one of a kind! Their mission is to give back to the community and the work they do truly makes a difference in the lives of people within the community and beyond.

The ideal candidate must have at least 5 years of Office Management experience, have a four-year degree, and be open to also taking on the management of the home that is next door to the office. This position is fast-paced and requires a candidate who can think outside of the box and isn’t afraid to “put out fires” on a daily basis.

This position is on-site Monday-Friday at the office in Los Altos.
