Kelly is looking for an Administrative Assistant/Permit Technician in Tyler, TX.
• Process building permits, checking for accuracy and completeness.
• Route permits to the appropriate review staff.
• Monitor application progress and provide updates to applicants.
• Prepare plans and permits for issuance.
• Issue over-the-counter permits within the assigned scope of authority and responsibility.
• Provide guidance to applicants in filling out various applications and forms.
• Ensure applicants understand the permitting process and have all necessary information and attachments.
• Enter and balance financial transactions in the cash receipt system.
• Close out and run reports on a daily basis.
• Maintain accurate records of the permit process, including data on permitting activity.
• Provide excellent customer service by greeting customers, answering phones, and responding to inquiries.
• Prepare files for electronic archiving and scan documents as necessary.
• Coordinate with Plans Examiners to ensure timely and accurate review and issuance of building permits.
• Enter data into the computerized permit tracking system and file documents and records as required.
• Perform general clerical duties and maintain office supplies and equipment.
• Establish effective working relationships with contractors, architects, owners, and the general public.
• Assist with maintaining a supply of office forms and public handouts.
• Answer phone calls and address questions related to the building permit and planning process.
• Possess knowledge of basic code-related questions and the ability to find and apply answers.
• Communicate effectively, both orally and in writing, and explain rules and procedures clearly to the public.
• Operate office machines and equipment.
• Work independently with minimal supervision.
• Prioritize workload effectively in a fast-paced environment with frequent interruptions.
• Perform other duties as assigned.
Qualifications:
• Proficiency in Microsoft Word, Excel, and TRAKiT and ProjectDox permitting software.
• Familiarity with zoning, building, and related codes is preferred.
• Experience in a similar role or administrative capacity is desirable.
