Surgery Center Administrative & Patient Flow Assistant (1099 Contractor)
Location: Westchase Surgery Center (Tampa, FL)
Schedule: In-person, Full-time hours (approx. 40 hrs/week)
Compensation: $30/hr + $100 bonus for each surgery booked from qualified leads
Status: 1099 Independent Contractor
About the Role
We are looking for a positive, reliable, sharp, and detail-oriented Administrative & Patient Flow Assistant to support our busy Westchase-based surgery center. This is a highly visible, patient-facing role where professionalism, communication, and common sense truly matter.
This position supports surgeons, anesthesiology staff, patients, families, and office managers from referring practices. You are one of the first and last impressions of the surgery center — the smoothness of the daily flow depends on you.
Schedule Expectations
This role requires flexibility, including early-morning shifts on surgery days.
Surgery Prep Days:
6:30 AM – 3/4 PM (typically 1–2 days per week)
Duties include prepping charts, rooms, supplies, and patient flow.
Non-Surgery Days:
8:00 AM – 5:00 PM (with Mondays often being a half-day)
Although some days end early, there are always tasks to complete to reach a full 40-hour workweek (stocking, organizing, laundry for gowns/linens, maintaining supplies, etc.).
Key Responsibilities
Administrative & Scheduling
Communicate with referring office managers to book cases, confirm details, and coordinate updates
Use EMR systems to create, prepare, and finalize patient charts ahead of surgery
Assist with anesthesia coverage coordination
Answer phones, manage appointment requests, book consultations, and help manage incoming leads
Ensure the schedule aligns correctly with providers (prevent double bookings)
Patient Flow & Surgical Prep
Greet patients, es**rt them to pre-op/admission rooms, and communicate to staff when the next patient has arrived
Ensure consent, discharge paperwork, and chart prep are properly handled
Prepare rooms, restock supplies, and maintain a clean, aesthetically pleasing environment
Support recovery room clean-up, gown/gauze restocking, and folding laundry as needed
General Operations
Receive deliveries and confirm outgoing shipments (e.g., FedEx pickups)
Keep the facility stocked, organized, safe, and professional
Light social media support is a plus

This role requires someone who is:
Professional, friendly, and excellent with patients and families
Reliable, alert, and present (no “checked-out” energy)
Extremely detail-oriented
A strong communicator who can follow directions and take initiative
Someone who proactively solves problems — not someone who waits days to follow up
Capable of learning and using EMR systems quickly
A team player comfortable helping wherever needed
Prior hires failed due to:
Poor attention to detail
Lack of urgency or awareness (“I’m sorry” instead of “I fixed it”)
Looking disengaged or unprofessional in front of patients
Not confirming outgoing shipments/deliveries
Not following up in a timely manner
Scheduling mistakes (double-booking providers or missing lead follow-up)
