Job description:
We have an temporary need for a 1st shift (8:00am-5:00pm Monday-Friday) administrative assistant. This will be while an employee is scheduled for maternity leave and we anticipate the timeframe being May 13 to July 17.
Job Summary:
This person will serve as the main point of contact for office visitors, vendors, and service providers. This role also supports project teams, assists the executive assistant, manages office supplies, and helps coordinate employee events. Success in this role requires strong organizational and communication skills, and the ability to juggle multiple tasks in a fast-paced environment.
Key Responsibilities:
· Front Desk Operations: Welcomes visitors, ensure they are signed in, and escorts them to their designated meeting locations.
· Call Management: Manages incoming calls and directing them appropriately through the switchboard.
· Mail and Package Management: Receives, sorts, and distributes incoming and outgoing mail and packages.
· Office Supply & Inventory Management: Oversees inventory of office, breakroom, and janitorial supplies, maintaining appropriate stock levels.
· Employee Engagement Support: Assists in the planning and coordination of employee engagement events, including logistics, communication, vendor management, and day-of-event support.
· Executive Assistant Support: Provides support to the Executive Assistant as needed, prepares the boardroom for meetings by ensuring necessary supplies, technology, and refreshments are ready. Coordinates catering and places lunch orders for larger meetings or executive gatherings.
· General Office Oversight: Ensures the office environment is organized, clean, and professional, proactively addressing any operational issues or employee requests.

Required Experience
· Bachelors, associate’s degree or High School Diploma or equivalent with a minimum of 2 years’ experience in customer service or related environment. Strong verbal, mathematics, and written communication skills. Ability to be a team player, multi-task, and be detail oriented.
Preferred Experience
· Microsoft Office, multi-tasking, time management, ability to manage customers and vendors
