Our client, an interior design firm, is seeking a skilled office administrator. This position will complete daily office operations, respond to client inquiries, organize service schedules, and complete bookkeeping functions.

Responsibilities:

Customer service and support.
Respond to inquiries, provide price quotes and general company information, compose service Proposals and follow up on all pending clients.
Record new client orders, open service ticket, organize work crews and supplies.
When applicable, research and engage subcontractors for project completion and remain in communication with subcontractors to ensure efficient and accurate work completion.
Work with service crews to organize work schedules, maintain workplace safety and track inventory.
Keep track of open service tickets, remain in communication with service team and clients, confirm timely and accurate work completion and resolve any issues that may arise.
Establish controls to track company inventory, communicate with vendors, negotiate to obtain ideal products and prices, coordinate shipments and deliveries, and confirm accurate arrival of product quantity, quality and prices.
Complete basic bookkeeping functions.
Review vendor accounts, confirm accuracy of purchase orders and invoices and organize timely payments.
Review client accounts, generate invoices and solicit payments in a timely fashion.
Resolve any AP or AR account discrepancies. Refer delinquent accounts to appropriate parties for resolution.
Communicate with external Accountants to coordinate timely AP/AR and other bookkeeping functions.
Generate and analyze financial reports and assist with internal audits and tax preparations.
Report to company management.
Requirements:

Work experience in Administrative Support.
Knowledge of bookkeeping and AP/AR functions is a plus.
Highly skilled at interpersonal and client communications.
Customer Service aptitude.
Effective time management and multitasking skills.
Detail oriented, motivated and diligent.
Professional and personable manner.
Computer skills.
