Answer inquiries and provide information to customers, visitors, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the company. Assist branch staff with administrative tasks relative to the recruiting and on-boarding of new associates to the company.
Duties and Responsibilities
• Provide a warm welcome for visitors, determine nature and purpose of visit, and direct/escort them to destinations; manage multi-line phone system with efficiency and professionalism
• Schedule appointments; maintain and update appointment calendars
• Assist with and resolve complaints or issues as they are brought forward; escalate to branch manager as needed
• Perform administrative support tasks, such as on-boarding of associates, and other ATS related tasks; assist with resume formatting for branch staff
• Collect, sort, distribute, and prepare mail or messages
• Administer associate screenings as requested by branch staff, such as drug tests or background screenings
• Manage timecards/payroll process for assigned branch locations; coordinate with payroll staff at corporate office; troubleshoot to avoid payroll related issues
• Manage office supplies and pantry; order supplies as needed
• Assist with organization of office functions as directed
• Other relevant administrative tasks and projects as assigned
Job Requirements
Experience
• 2+ years of administrative experience is required
• Strong attention to detail, multi-tasking, and organizational skills required
• Excellent communication/telephone/email etiquette skills required; bi-lingual abilities preferred
• Proven ability to work with grace and professionalism in a fast paced, deadline driven environment
• Computer proficiency is required (MS Office); prior experience with ATS
