Training and Marketing Professionals Inc. is in need of (1) Admin Operations Support Associate
🎯 What we're looking for:
✅Bachelor’s degree in Business Administration, Management, Finance, Operations Management, or a related field is preferred.
✅With at least 2 years of relevant administrative or operations support experience, preferably in banking, financial services, fintech, shared services, or a similar fast-paced and controlled environment.
✅Experience in handling administrative support, request tracking, documentation, reporting, scheduling, and stakeholder coordination.
✅Experience supporting operations, process governance, operational excellence, or back-office functions is an advantage.
✅Exposure to handling offboarding, onboarding, case management, request management, or documentation-heavy operational processes is preferred.
✅Familiarity with working under structured workflows, internal controls, and compliance-related requirements is an advantage.
🎯What you'll do:
A. General Administrative and Operational Support
✅Provide administrative and operational support to the B2B Operations Excellence team in the day-to-day ex*****on of team activities, requests, and initiatives.
✅Maintain accurate records, trackers, databases, and filing systems for team requests, deliverables, and operational documents.
✅Prepare and update reports, dashboards, presentations, and status trackers required by the team and management.
✅Coordinate with internal stakeholders for follow-ups, clarifications, issue resolution, and timely completion of action items.
✅Assist in scheduling meetings, preparing minutes, documenting discussions, and monitoring deliverables and next steps.
✅Support the team in ensuring completeness of documents, proper endorsement routing, and adherence to prescribed internal processes and controls.
✅Help organize and monitor administrative requirements related to projects, governance activities, process improvement initiatives, and team deliverables.
✅Ensure that all records, reports, and documents handled are properly maintained with accuracy, timeliness, and confidentiality
B. Partner Offboarding Program Support
✅Support the intake, logging, tracking, and monitoring of partner offboarding requests and related operational cases.
✅Assist in checking the completeness of offboarding requirements and supporting documents prior to endorsement or routing to the appropriate teams.
✅Coordinate with relevant internal stakeholders to facilitate follow-ups, status monitoring, clarification of requirements, and timely processing of offboarding-related requests.
✅Maintain accurate trackers and documentation for offboarding requests, including request status, aging, completion, and closure monitoring.
✅Assist in preparing and consolidating reports, updates, and summaries related to offboarding requests for management review.
✅Ensure proper filing, documentation, and record keeping of offboarding-related requests and supporting documents in accordance with internal processes and controls.
C. Displays
✅Strong attention to detail and organizational skills, with the ability to manage multiple requests and priorities at the same time.
✅Good analytical and problem-solving skills to support accurate tracking, reporting, and issue escalation.
✅Proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word (or Google Suite equivalents).
✅Ability to prepare clear trackers, reports, documentation, and presentations with minimal supervision.
✅Good communication and coordination skills in dealing with cross-functional stakeholders.
✅Ability to work in a structured, process-driven, and compliance-conscious environment.
✅Demonstrates accountability, reliability, and discretion in handling confidential or sensitive information.
✅Able to work independently while maintaining strong coordination with the team and relevant stakeholders.
