About the Role
We are seeking a highly organized and proactive Executive Operations Virtual Assistant to support a growing home-service-based business. This role combines executive assistant responsibilities with operational and CRM management duties.
The ideal candidate has experience working in service-based industries such as construction, plumbing, HVAC, painting, landscaping, or similar home-service businesses. Experience using Jobber CRM is strongly preferred.
This is a fully remote position requiring excellent communication skills, strong attention to detail, and the ability to manage recurring operational workflows while also handling ad hoc executive support tasks.
Key Responsibilities:
Operational & CRM Management:
• Manage and maintain the Jobber CRM system
• Monitor customer appointments, scheduling, and workflow pipelines
• Ensure all automated workflows, emails, texts, and reminders are functioning properly
• Track client progress through various stages of the service pipeline
• Coordinate and verify appointment confirmations and schedule changes
• Identify workflow issues and proactively escalate concerns when needed
• Support project coordination and administrative operations
Administrative & Executive Support:
• Handle general executive assistant tasks and ad hoc requests
• Prepare documents, letters, and reports as needed
• Maintain organized records and communication logs
• Assist with internal operational processes and business support tasks
Required Qualifications:
• Strong English communication skills (written and verbal)
• Previous experience as a Virtual Assistant or Operations Assistant
• Strong organizational and multitasking abilities
• Ability to work independently and proactively
• Comfortable learning and navigating software platforms quickly
• Reliable internet connection and dedicated workstation
• Available to work during EST business hours
Preferred Qualifications:
• Experience using Jobber CRM
• Experience in home-service industries (construction, plumbing, HVAC, painting, landscaping, etc.)
• Experience managing appointment scheduling and operational workflows
• Experience supporting sales or client service pipelines
• Familiarity with automation tools and workflow systems
