About the role
Capita Real Estate & Infrastructure is currently looking to recruit a Administrative Assistant to provide support to the wider team within our Property and Asset Management business. This role will see you working with a wide range of internal stakeholders on a diverse array of administrative and support tasks.

Role Overview
Administrative assistants will work as part of the Department support team, who deal with all admin related tasks for staff in the PM & FM teams. The department support team is currently made up of two staff in London, one in Edinburgh & two in Poland. The PM & FM department is made up of four different areas, Property Management, Facilities Management, Onsite staff & Management accounts. All four of these teams work together to deliver an efficient service to the clients that Capita Real Estate manage properties on behalf of.
Key tasks & responsibilities
Collating Service Charge budgets & reconciliations packs to be sent to the tenants.
Managing/dealing with phone and email correspondence
Deal with inspection arrangements on behalf of the Property or Facilities Manager.
Preparing reports, PowerPoint presentations and Excel spreadsheet
Printing and binding quarterly/monthly reports
Mail merges
Arrange Couriers with the central Gresham Street team
Printing and posting rent demands
Distribute daily the Bankline transfers to the Director team.
Opening and distributing post for the department
Typing up notes from meeting’s & attending meetings to take minutes.
Emailing & Posting FRA Reports to Tenants
Travel & Accommodation bookings
Fee invoice raising
Meeting room booking
Downloading information from media devices onto internal drives
Internal & external meeting arrangements.
Ordering Business cards
Manage email groups & distribution lists.
Maintaining filing systems
Purchase order creation
Checking Conflict’s with other areas of the business
Collating and posting cheques for account payable
Maintain project systems. (creating new projects, amending and keeping existing up to date)
Uploading documents to the hub
Adhoc tasks & requests
Key Skills

Good experience in Word, Excel & PowerPoint
