Hiring for Ex*****on Assistant (Secretary Position) for leading company in Verna Goa

Requirements:
➢ Minimum Graduate in any stream (Science, Commerce, Arts) or equivalent.
➢ Minimum 5 years in similar role.
➢ Good Communication Skills, Time Management, Multi-tasking. Well-developed Organization
Skills and experience in secretarial practices.
Main Responsibilities
➢ Primary Responsibility as Executive Assistant to General Manager:
• Manage Daily Calendar.
• Managing appointments based on calendar availability - Sending invites, room reservations etc.
• Support in preparing and distribution of agenda.
• Preparing meeting notes, action list and follow-up.
• Drafting communication, internal, as well as external.
• Prepare relevant material for supporting Customer meetings (using external / internal resources).
• When assigned – attending meeting on behalf of GM.
• Company Car – coordinate for service appointments, insurance renewals etc.
➢ Travel and Hospitality Support:
• Making travel arrangements – Travel bookings, Hotel bookings, logistics etc.
• Foreign Travel – Coordinating for Visa, tickets, insurance and other arrangements.
• Prepare Concur expense support on behalf of GM and keep track.
• Support travel request for CCSA Team members when required.
➢ General Administrative support for offices outside Goa (Mumbai, Noida, Hyderabad, Bangladesh,
etc.):
• Office service support for Mumbai location – building service provider, facilities team, landlord
etc.
• Support office to coordinate and maintenance / repair activities of office/ IT Equipment’s.
• Support activities related to Mumbai office statutory compliances – S&E License, Fire
Approvals etc.
• Review inventory in office – Stationary, pantry items etc.
➢ Visitors Related Support:
• Visitors – coordinate travel and other arrangements for Global Visitors, Customers and other
business partners visiting Colorcon offices in India.
• Understand their specific requirements in terms of diet etc. and provide required support.
• Maintain Visitor and event calendar file to be circulated to CCSA Managers on regular basis.
➢ Support for CSR Committee activities:
• Managing CSR committee meetings – sending invites, appointments with external partners.
• Prepare meeting notes and Follow-up for actions with all concerned.
• Coordinate with external partners to receive regular updates and compliance documents/
supporting.
➢ Human Resources Functions Support:
• Attendance registers for Mumbai office.
• Coordinating activities of Contract staff in Mumbai – receptionist, housekeeping team.
• Coordinate for services of vendors like pest control, Annual medical check-up etc.
• Review visitor logbook for Mumbai.
• Coordinate for Hiring Process or Exit formalities of employees based in Mumbai office.
• Support organization for Events of satellite offices.
