Full UK Driving Licence Required

Portfolio: Approximately 400 residential units

We are recruiting for an experienced Property Block Manager to take responsibility for a portfolio predominantly consisting of freehold and long leasehold residential blocks.

Reporting directly to the Head of Block Management, you will take ownership of the day-to-day management of your portfolio. This would suit an experienced Block Manager who is confident managing their own portfolio and enjoys a varied role encompassing client relationships, service charges, major works, contractors, compliance and site inspections.

Key Responsibilities

- Acting as the main point of contact for freeholders, directors, leaseholders and residents
- Undertaking regular site inspections and proactively identifying maintenance and compliance requirements
- Preparing and managing annual service charge budgets
- Monitoring expenditure and approving supplier invoices
- Managing planned and reactive maintenance, liaising with contractors and ensuring works are completed effectively
- Coordinating and overseeing Section 20 consultations and major works projects
- Ensuring appropriate service contracts are in place and regularly reviewed
- Taking responsibility for Health & Safety compliance, including Fire Risk Assessments, water hygiene, asbestos and LOLER requirements
- Preparing for and attending client/director meetings and ensuring actions are followed through
- Liaising with internal accounts, surveying and property management teams to provide a seamless service
- Assisting with the progression of building insurance claims
- Keeping up to date with relevant leasehold, property management and Health & Safety legislation
- Building strong, professional relationships with clients and providing consistently high levels of customer service

To be considered for this position, you will ideally have:

- Previous Block Property Management experience is essential
- Experience independently managing a residential block portfolio
- Good knowledge of service charges, Section 20, major works and leasehold management
- Strong understanding of property maintenance and Health & Safety compliance
- Excellent client and leaseholder relationship-management skills
- Strong organisational skills with the ability to manage a busy and varied workload
- A proactive, professional and solutions-focused approach
- TPI qualification would be highly advantageous, although candidates willing to work towards their TPI qualifications will also be considered
- Full UK driving licence is essential

A fantastic opportunity has arisen for an experienced Practice Administrator to join a well-established and highly respected wealth management practice based in Brighton.

This boutique-style financial advisory firm provides expert advice to both local and national clients across pensions, investments, protection and tax planning, and has built a strong reputation and loyal client base over the past decade.

The successful candidate will play a key role supporting the Financial Adviser and wider practice, ensuring the smooth day-to-day running of the office while delivering a professional and efficient service to clients.

Responsibilities:

- Greeting clients and supporting them ahead of meetings with the Financial Adviser.
- Managing and coordinating the Adviser’s diary and client appointments.
- Preparing client welcome packs and review packs.
- Maintaining accurate client records on the CRM and back-office systems.
- Preparing quotations and illustrations from product providers.
- Processing new business applications and client documentation.
- Sending and managing Letters of Authority to financial institutions.
- Processing fund switches and withdrawal requests.
- Drafting basic suitability reports for reviews and investment changes.
- Liaising with clients, providers and third parties via phone and email.
- Preparing investment performance charts and supporting reporting.
- Assisting with client events and general office administration.

Skills and experience required:

- Previous experience within a financial advisory / wealth management administration role is essential.
- Experience working within a financial planning or wealth management practice.
- Knowledge of financial services products including pensions, investments and protection.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- High level of attention to detail and accuracy.
- Confident using Microsoft Office (Word, Excel, Outlook and PowerPoint).
- Experience with CRM or client management systems (e.g. Salesforce) would be beneficial.

Are you an ACA or ACCA qualified accountant with a strong background within accountancy practice and proven experience managing and developing a team?

You will work closely alongside the Partner, taking responsibility for managing a portfolio of clients as well as overseeing the workflow and development of the team.

This is a key position within the practice, so you will need to be confident working autonomously and capable of overseeing the office and client portfolio in the Partner’s absence.

Key Responsibilities

- Work closely with and report directly to the Partner.
- Manage and develop a varied portfolio of clients.
- Review and finalise accounts, tax returns, client correspondence, letters and fees.
- Review correspondence from clients and HMRC, preparing appropriate responses and communicating directly with clients.
- Provide advice and support to clients on a range of queries including tax and accountancy software.
- Assist with ad hoc advisory work including financial forecasts, incorporations and management accounts.
- Oversee the workflow of the team, ensuring deadlines and service standards are maintained.
- Manage and support team members in relation to training, development, attendance and holidays.
- Build and maintain strong, professional relationships with clients and colleagues.
- Confidently use accountancy and taxation software including Xero and CCH, alongside Excel and Word.

You will ideally have:

- ACA or ACCA qualification.
- A minimum of three years’ post-qualification experience within an accountancy practice.
- Strong technical accounting and taxation knowledge.
- Proven experience supervising, managing and training staff.
- The confidence and experience to work independently and take responsibility in the Partner’s absence.
- Excellent client relationship and communication skills.
- Strong organisational and time-management skills.
- Excellent attention to detail and a high level of accuracy.
- Good IT skills and experience using accountancy software.
- A professional, personable and proactive approach.
