Reporting to the General Manager (GM), the Assistant/Staff position supports the Management of the company by performing administrative tasks on real estate development projects on all stages, maintaining an effective and well-organized office and assisting the Owner’s personal errands. The Assistant/Staff will be expected to help create a sense of order and good humor in a fast-paced work environment that requires good judgment, quick learning, strong attention to detail, and the ability to prioritize.

Job Description:

The Office Manager provides daily support of company operations and plans the most efficient administrative procedures. The successful candidate will have excellent communication and organizational skills, demonstrate a high attention to detail, ability to multitask, and experience working within a team environment.

General Duties:

Supervise the day-to-day operations of the administrative department and front desk receptionist
Back up daily front desk services when necessary (including, but not limited to, shipping and receiving, distribution of mail and deliveries, document scanning, answering phones, monitor and order supplies, and payroll delivery)
Coordinate all travel requests for employees and interview candidates, troubleshoot travel changes, and maintain organized documentation of employee data and travel confirmations
Supervise custodian
Monitor corporate credit card usage for approved purchases, including tracking and submitting receipts in PRIME
Provide assistance in filtering and forwarding communications to proper individuals and departments
Organize and supervise other office activities (recycling, renovations, landscaping, etc. as assigned)
Develop, review, and improve administrative systems, policies, and procedures
Ensure the smooth and adequate flow of information within the company to facilitate other business operations
Collecting, organizing, and storing information using computers and filing systems
Overseeing special projects and tracking progress towards company goals
Manage corporate documentation such as business licenses, contractor licenses, and client insurance compliance to ensure all requirements are up to date and well-organized
Oversee all business and contractor licensing
Manage OSHE registration and accounts
Monitor and track publication subscriptions
Manage OSHA and Overton training registration
Assist other location admin needs when necessary
Miscellaneous special projects as assigned (such as the vinyl equipment decals, JazzHR resume printing, HQ office move logistics, etc.)
