Here is what we do when a placement goes wrong.

We replace before we explain. Arguing about fit costs you an operating day. The replacement conversation starts first.

We review it against what we screened for. If our screening missed something, it goes into the process. It does not get talked around.

We name the real cause. Sometimes the worker was wrong. Sometimes the brief was. Sometimes the site was. We will tell you which, including when the answer is us.

Year-end close, audit prep, and system migrations do not create permanent workload. They create an eight to twelve week spike on a team that is already fully committed.

Two bad options usually follow. Hire permanently for a seasonal problem, or push it onto the people you least want to lose.

There is a third. Reconciliation support, AP and AR coverage, audit documentation, data cleanup ahead of a migration, staffed for exactly the window it exists in.

Two agencies quote you. One is cheaper. Most evaluations end there.

Four numbers actually decide what you spend:

Fill rate. What share of your requests get filled at all.
Time to fill. How long the seat sits open.
First-day show rate. How many confirmed placements actually arrive.
Completion rate. How many finish rather than disappearing in week two.

An agency that is cheaper per hour, fills seven requests in ten, two days slower, with people who do not finish, is not cheaper. It is billing you less for a problem you still have.

Ask your current partner for all four. If they cannot produce them, they are not measuring them. That is the answer. Link in bio.

Three compliance gaps most logistics employers discover during Q4 audits - and not before.

Q4 is when things move fast and documentation gets deprioritized. It is also when compliance exposure tends to surface, because audit cycles in large distribution and 3PL operations often land in Q4 or Q1. By the time the gap is visible, it has usually been accumulating for months.

The three I see most consistently:

01. Safety orientation records for contract workers placed in Q3 and Q4
When operations are moving quickly and a placement starts on short notice, written safety orientation documentation is the thing most likely to be skipped or incomplete. In a WSIB investigation, 'we gave them a walkthrough' is not sufficient. The record needs to exist, be dated, and be specific to the role and site conditions.

02. Same Work, Same Pay threshold tracking across long-duration placements
The three-month mark passes quietly in busy operations. A worker placed in September who is still on-site in December has crossed the SWSP threshold. If your HR team is not tracking placement start dates against ESA provisions, you carry retroactive exposure you have not budgeted for.

03. WSIB clearance certificates not renewed for staffing partners
Most operations request a WSIB clearance certificate from their staffing agency at the start of the relationship - then never request an updated one. Certificates expire. A lapsed certificate means the indemnification you assumed was in place may not be.

None of these are difficult to fix. All of them are easier to fix in August than after a claim or an audit.

Timesheets are a record of what people remembered. Geofencing is a record of what happened.

In Trimax Verify, every site address carries its own rules. You set the boundary distance and the permitted break duration for that location, not a blanket policy across every site you run.

From there it runs itself. A worker outside the boundary gets a warning before anything happens. If they stay out past the allowed window, the system logs them out automatically. Break overruns work the same way.

What that gives you: hours you can defend, billing conversations that end quickly, and a record that holds up if a claim is ever made.

What it gives the worker: their time logged correctly without depending on anyone else remembering.

Every operations manager in logistics and distribution knows it. The phone rings before the shift starts. Someone did not show. The scramble begins.

What most staffing relationships do not have is visibility before that moment. You find out when someone is absent the same way you find out they are present - when they walk through the door, or when they do not.
Trimax Verify changes that.

Here is how it works in practice for our logistics and distribution clients:

1. GPS tracking activates one hour before each shift. The platform begins logging whether assigned workers are in transit or within range of the facility. By 8:00am for a 9:00am shift, we already know who is on track and who is not.

2. Geofencing is set per site - your address, your specific dock or entrance boundary. When a placed worker enters that boundary, their clock-in is logged automatically. No paper sign-in. No manual reconciliation.
