Executive Administrative Assistant (Entry Level)

Job Description:

Antiques Collectors Club, a retail and wholesaler staffing store based in Toronto, ON, is seeking an Executive Assistant to support the chairman of the board through a period of rapid expansion into new markets. The Executive Assistant role is perfect for a candidate who has strong administrative and technical skills, and who can effectively communicate with executives and prioritize multiple tasks. This role will require occasional time in our spacious Toronto, ON office for meetings and can otherwise be performed remotely or in a hybrid capacity.

Primary Responsibilities:
📍Plans, coordinates and ensures the Chairman's schedule is followed.
📍Conserve executive's time, and initiating telecommunications.
📍Prioritize and follow up on incoming professional or personal issues and concerns addressed to the Chairman.
📍Maintain Chairman's Outlook calendar by planning and scheduling meetings, conferences, teleconferences, and travel.
📍Keep Chairman informed of upcoming events and commitments.
📍Provide administrative support to the Chairman and his family by booking travel.
📍Communicate directly, and on behalf of the Chairman, with Executives, Professional Network, Colleagues and Family members by planning group outings/trips; sending Anniversary, Condolence, Congratulation gifts.
📍Research, prioritize, and follow up on incoming professional or personal issues and concerns addressed to the Chairman, including those of a sensitive or confidential nature. Determine the appropriate course of action, referral, or response.
📍Provide a bridge for smooth communication between the Chairman's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
📍Prioritize conflicting needs; handle matters expeditiously, pro actively, and follows through on projects to successful completion.
Job Requirements:
📍Business-related Associates or Bachelors degree or equivalent a plus High level of oral and written communication skills.
📍Strong computer skills, particularly Microsoft Office Suite.
📍High level of interpersonal skills, exhibiting polished business savvy to interact with high level executives and navigate the organization.
📍Strong organizational and planning skills, as well as an ability to multitask in a very dynamic environment.
📍Seasoned problem solving skills, including root cause analysis with temporary and permanent resolutions.
