The overall objectives of the Administrative Assistant, Power & NET
are to:
• Provide full administrative support to the VP Power Operations
and VP New Energy Technologies
• Coordinate and lead administrative activities in Power Operations
ensuring the consistency, quality and timeliness of correspondence,
information and documentation
• Support and respond to Senior Management’s requirements on
both recurring and ad-hoc issues
• Provide guidance and support to the Senior Management Team to
ensure timely deadlines are met specific to objectives,
performance, compliance and reporting
Specific Accountabilities
• Working with significant independence and discretion, provide
administrative support for the VP Power Operations & VP NET,
which includes:
o Keep abreast of incoming correspondence (electronic and post)
and categorize emails
o Manage calendar and work day to ensure maximum time
efficiency is achieved, anticipating and initiating appropriate actions
as required
o Prepare signatures on behalf of the VP
o Expense report submission and administration
o Escalate I.T requests on behalf of the VP
• Other accountabilities include:
o Manage/update the Power Operations, Power Operations Plant
Manager & Power Leadership email distribution lists
o Process invoices for VP and Directors/Managers as requested
o Update internal Power Org structure as changes occur
o Manage seating arrangements for Power & NET within VPC and coordinate in conjunction with facilities
o Work with VP & Directors/Managers to ensure deadlines are met (set up and join weekly Power Ops calls
o Coordinate domestic and global travel
o Coordinate conference/townhall calls in conjunction with PA
o Order supplies for the Power & NET group at Toronto VPC
o Ensure annual goals are met (Diversity & Inclusion, Safety &
Training, Financial, etc.)
o Work with the Business Authority and assume Records
Administrator’s role to support records management for Power
Other ad hoc requests from VP and Directors in Power Operations
& NET
Scope/Dimensions
• Manages competing priorities
• Works as administrative support to VP, Directors/Managers as
required
• Maintain confidentiality of sensitive information at all times
Working Conditions
• Post Covid-19: Office environment with occasional alternative
work arrangements provided
• This position requires most communication be completed
electronically (screen time ?90%)
• Limited overtime and travel (?10%)
Knowledge, Skills & Abilities
• Bachelor’s degree or a combination of education and minimum 5
years of experience as a senior administrative assistant
• Excellent communication skills, both written and verbal, with an
acute attention to detail
• Strong interpersonal and EQ soft skills
• Highly independent with impeccable judgement and a strong
appreciation for discretion
• Exceptional organizational skills with the ability to effectively
multitask and prioritize
• Advanced knowledge of software/applications including Microsoft
Word, Excel, PowerPoint, Outlook, Adobe and Oracle
Reporting Relationships
• Reports directly to Vice President, Power Operations
• Works to ensure alignment with Director Power Operations Asset
Management, Director Power Operations US, Director Power
Operations Canada, Director Power Engineering and Manager
Power Operations Development & Transmission
• Works in conjunction with and takes direction from the Calgary
EVP administrative
