The overall objectives of the Administrative Assistant, Power & NET
are to:
• Provide full administrative support to the VP Power Operations
and VP New Energy Technologies
• Coordinate and lead administrative activities in Power Operations
ensuring the consistency, quality and timeliness of correspondence,
information and documentation
• Support and respond to Senior Management’s requirements on
both recurring and ad-hoc issues
• Provide guidance and support to the Senior Management Team to
ensure timely deadlines are met specific to objectives,
performance, compliance and reporting

Specific Accountabilities
• Working with significant independence and discretion, provide
administrative support for the VP Power Operations & VP NET,
which includes:
o Keep abreast of incoming correspondence (electronic and post)
and categorize emails
o Manage calendar and work day to ensure maximum time
efficiency is achieved, anticipating and initiating appropriate actions
as required
o Prepare signatures on behalf of the VP
o Expense report submission and administration
o Escalate I.T requests on behalf of the VP

• Other accountabilities include:
o Manage/update the Power Operations, Power Operations Plant
Manager & Power Leadership email distribution lists
o Process invoices for VP and Directors/Managers as requested
o Update internal Power Org structure as changes occur
o Manage seating arrangements for Power & NET within VPC and coordinate in conjunction with facilities
o Work with VP & Directors/Managers to ensure deadlines are met (set up and join weekly Power Ops calls
o Coordinate domestic and global travel
o Coordinate conference/townhall calls in conjunction with PA
o Order supplies for the Power & NET group at Toronto VPC
o Ensure annual goals are met (Diversity & Inclusion, Safety &
Training, Financial, etc.)
o Work with the Business Authority and assume Records
Administrator’s role to support records management for Power
Other ad hoc requests from VP and Directors in Power Operations
& NET

Scope/Dimensions
• Manages competing priorities
• Works as administrative support to VP, Directors/Managers as
required
• Maintain confidentiality of sensitive information at all times
Working Conditions
• Post Covid-19: Office environment with occasional alternative
work arrangements provided
• This position requires most communication be completed
electronically (screen time ?90%)
• Limited overtime and travel (?10%)

Knowledge, Skills & Abilities
• Bachelor’s degree or a combination of education and minimum 5
years of experience as a senior administrative assistant
• Excellent communication skills, both written and verbal, with an
acute attention to detail
• Strong interpersonal and EQ soft skills
• Highly independent with impeccable judgement and a strong
appreciation for discretion
• Exceptional organizational skills with the ability to effectively
multitask and prioritize
• Advanced knowledge of software/applications including Microsoft
Word, Excel, PowerPoint, Outlook, Adobe and Oracle
Reporting Relationships
• Reports directly to Vice President, Power Operations
• Works to ensure alignment with Director Power Operations Asset
Management, Director Power Operations US, Director Power
Operations Canada, Director Power Engineering and Manager
Power Operations Development & Transmission
• Works in conjunction with and takes direction from the Calgary
EVP administrative

Provide end-to-end Project Management for Customer Connections project work that can include cost and schedule estimation, tracking for budget and schedule accuracy, internal and external stakeholder management, ensuring information systems are kept up to date with current and accurate information, resolution of conflicts, material procurement, and prioritizing work in a cost effective manner.

Schedule Management - CI&OP Deliver to Plan Target – 80% of projects will meet the Stakeholder Agreed OTC Date: Responsible for the timely delivery of project plans to the EGD project ex*****on group that has overall accountability for delivery- to-plan, understanding the critical importance of timeliness for project delivery, specifically the implications of late project delivery (warranty penalties for builders, regulatory impacts, legal impacts, brand impacts, etc.).
• Overall goal to ensure; main and header extensions, related reinforcements, new subdivision and commercial installations progress to an OTC status by their stakeholder agreed OTC dates.
• Utilize scheduling tools, Land input (for permits/easements) and Stakeholder Guideline Memo to set dates appropriately (Planners may provide input based on complexity of design) to assist Reps with setting dates
• Ensure all schedule variances (eg. Internal delays, external delays) are documented in IDF with comments as the project progresses.
• Manage Maximo prerequisites in a timely manner to ensure correct status is being reflected
• Cost Management – CI&OP Forecast to Actuals Target - +/- 2% 10+12 Forecast to Year End Actuals:

Closely estimate, forecast and monitor projects (using information from Construction) in compliance with EGD Project Controls & Governance requirements, using applicable systems and tools such as AFE/COMMS, RIVA, IDF and CPET:
• Update IDF forecasts accurately monthly and at year end measurement review period of 10+2:
• Ensure Ex*****on variances (actuals to estimates) provided and justified by the ex*****on team are documented in IDF with comments as the project progresses.
• Ensure non-construction variances (e.g. delays in meeting planning milestones, material and/or Design and Engineering costs) are documented in IDF with comments as the project progresses.
• Document Management:
• Collect data from stakeholders and populate dates, financials, and status fields in C55, IDF and Maximo that are not input by another stakeholder or automatically populated

Attend and host meetings to define project scope (along with Planner), collect stakeholder requirements, and manage stakeholder engagement and expectations. Results will meet
stakeholder requirements included in project scope and will be delivered within a time agreed to by all stakeholders.
• Ensuring coordination with other internal and/or external stakeholders and ensuring integration with the work of other stakeholders.
• Maintaining positive relationships with internal and external stakeholders
• Engagement of key project stakeholders to gain alignment on scope

Minimize the number of projects which have to be put through the planning process (either internal or external) as a rush. Rushes must be justified with detailed root causes in the tracker, which must be provided to the Planner
• Contribute to minimizing the number of drawing revisions; by ensuring Planner is aware of customer expectations & customer is aware of any limitations.

Stakeholder Relationship Management:
- Anticipate the needs of internal stakeholders and external customers and prioritize work as required
- Flexible and responsive to customer needs
- Maintain the company brand and maintain company values
- Establish and maintain effective communications with the Customer, both verbal and written.
- Take a proactive approach in communicating and updating customers
- Customer escalations are managed immediately, and
supervisor/manager informed as required. Respectful and timely
communications with all customers and internal stakeholders
