Aims and Guidelines of the Atherton Car & Bike Swap Meet & Show:
Please read the following information about the Atherton Car & Bike Swap Meet & Show which is provided to ensure the event organisation is approached consistently. Event aims:
The Atherton Cluster of Educators Local Chaplaincy Committee holds this event for the following reasons:
• To promote school chaplaincy and raise fund
s to support the costs associated with the School Chaplaincy Program while aligning with the aim of the service (as follows). o “The Atherton Cluster of Educators Local School Chaplaincy Service aims to complement the existing welfare support provided through participating schools and add value to the school community by collaboration with all relevant parties. The service is provided through a three-way partnership between Education Queensland Schools, Scripture Union Queensland and the local religious communities.”
• To provide a family friendly event that is affordable and inclusive of communities and manageable by volunteers.
• To conduct a car and bike show with friendly competition and to provide the opportunity of a car and bike swap meet locally. Event guidelines:
Following are some guidelines that have been formed to maintain the spirit of the event:
• This event will provide a safe, inclusive, affordable, and family friendly event that centres around the opportunity to show cars and bikes and swap/sell/buy items associated with vehicles.
• Food stalls and other activities will be organised with proceeds (as practical) being contributed to school chaplaincy costs and associated programs (e.g., resources for school chaplains to use in schools).
• School P&Cs are encouraged to provide food stalls to raise funds for specific program materials relevant to their school chaplain’s role.
• All funds raised by the ACELCC through entry, stalls or other events/activities organised and operated by the ACELCC and any donations received during or resulting from the event will be distributed in line with the “ACELCC Policies” which form part of the ACELCC Annual Operation Plan. In short, these funds are available for direct employment expenses of school chaplains within the Atherton Cluster Educators Chaplaincy program.
• Stall holders and commercial businesses are encouraged to attend. However, the organising committee reserves the right to accept or decline any attendee. Space requirements, suitability of stall and/or contents and safety concerns will be considered by the organising committee in granting stall/trade display attendance.
• The organising committee does not intend to compete with local general market stalls selling produce etc. However, stalls conducted by school departments (e.g., Agricultural department selling produce or a specific approach by individual student/s or student body) will be considered on a case-by-case basis. It is important to the organising committee that the school community can engage in meaningful activities through this event.
• All conduct should be appropriate of the behaviour and materials normally acceptable within a school environment. If behaviour and items are not suitable for school aged people, the situation is not suitable for this event. The success of this event is dependent on the contribution of everyone to build meaningful relationships within our community. Engagement opportunities:
• Volunteers. This event requires a diverse set of skills. Please see “Volunteers list” for a comprehensive (not exhaustive) list of volunteer activities.
• Show vehicles. The main attraction of this event is the show vehicles. As the time, effort, and expense of providing show vehicles is to be recognised and appreciated, there is zero charge for show vehicle entries. The ACELCC (organising committee) or delegated representative of ACELCC reserves the right to allow access of any show vehicle where the aims and guidelines of the event as set out above may be breached and/or an unacceptable safety risk is identified.
• Swap Meet Stalls. The swap meet contributes significantly to this event and provides a local opportunity for vehicle enthusiasts to trade. • Trade Displays/Stalls. Sponsors, businesses, and organisations are encouraged to operate a trade display and/or store for the provision of business/organisation promotion. Please see above aims and guidelines for information regarding requirements for Trade Displays/Stalls. The “Support Opportunities” section sets out a brief description and benefits.
• Sponsorship. Businesses willing to sponsor the event receive promotion through several platforms and channels. Please see “Support Opportunities” for details of sponsorship opportunities.
• Donor. Businesses, organisations, and individuals are encouraged to donate to this event and/or the School Chaplaincy service. Please see “Support Opportunities” for details.
• Media. Local media groups are encouraged to engage with this event and promote it while gathering media content. Media activities can be discussed with the organising committee/representative directly.
