Job Description:
We are seeking a highly skilled and dedicated Lady Office Manager to join our reputable medical institute. As the Office Manager, you will play a vital role in ensuring the smooth and efficient operation of our office and administrative functions. Your exceptional organizational, leadership, and communication skills will be crucial in coordinating various office activities and supporting our team to provide excellent medical services.
Responsibilities:
Manage the daily operations of the office, including coordinating schedules, meetings, and appointments.
Oversee administrative tasks such as filing, record-keeping, and managing correspondence.
Ensure a welcoming and professional atmosphere for patients, visitors, and staff.
Handle incoming calls and inquiries, directing them to the appropriate departments or personnel.
Supervise and support administrative staff to optimize their performance and efficiency.
Monitor office supplies and equipment, ensuring adequate stock levels.
Collaborate with different departments to ensure effective communication and seamless workflow.
Implement and enforce office policies and procedures, maintaining a high level of efficiency and compliance.
Coordinate and plan office events and meetings, including logistics, agendas, and follow-up actions.
Assist in budget preparation and financial reporting as required.
Prepare reports, presentations, and documents for management and stakeholders.
Uphold confidentiality and handle sensitive information with utmost discretion.
Requirements:
Proven experience as an Office Manager or in a similar administrative role, preferably in the medical field.
Excellent organizational, multitasking, and time management skills.
Strong leadership abilities and the ability to motivate and guide a team.
Exceptional communication and interpersonal skills, with a friendly and professional demeanor.
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
Knowledge of medical office procedures and terminology is advantageous.
Bachelor's degree in Business Administration or a related field is preferred.
Additional Information:
This is a full-time position, working 40-45 hours per week.
