Project Manager/Accounting Assistant

Our company is looking for an experienced, dedicated individual to conduct daily accounting functions and financial records management. The position's focus is on accounts receivable, certified payrolls and multiple financial and office administrative duties but supports the accounting/administrative team. Strong understanding of prevailing wages is preferred. The individual will be working directly with Project Managers, accounts payable and payroll specialist, estimators and project management assistant to accomplish accounts payable, accounting, bookkeeping, record keeping, banking, insurance and all related financial and office administration requirements. The position reports directly to the Vice President of Operations and supplies financial information to the Comptroller and CPA. The position is based in an office setting. This is a high-paced environment but with a positive, family-based culture. Duties and Responsibilities
*Gather and collect financial data, project reporting documents, and manage their digital and hard copy storage.
*Post and maintain up-to-date accurate entries in the accounting system. Maintain organized supporting documentation, digitally and hardcopy, following organizational workflows.
*Work with accounts payable, payroll and estimating specialists to review and verify accuracy of financial and project information. Monitor and produce reports and assist in the analysis of the data.
*Submit Certified Payrolls and maintain documentation.
*Ensure timely completion of the assigned accounting tasks that are in accordance with company and industry policies and procedures.
*Assist in tracking and managing the source documentation, assisting in preparing documentation for audit requirements, support in the preparation of statistical reports and assure they are standardized.
*Provide support in budget preparation and drafting of relevant documents, perform miscellaneous submissions, ad hoc reconciliation, etc.
*Assist payroll specialist in creating, verifying, maintaining staff documentation to process payroll based on job specification.
*Participate in meetings; provide insight to financial and operational procedure; provide input on process improvement; and identify opportunities for enhancement.
*Assist estimating department in the gathering, documenting and storage of the necessary job documentation to support project management and meet fiduciary reporting.
*Maintain employee records and manage the appropriate documentation. Prepare required information for security clearances and work with the Project Managers and verifying compliance.
*Assist project management in gathering and verifying client and vendor information to monitor project costs and schedules.
*Communicate with superiors on a regular basis to inform of status of the organization and to report on issues that need to be addressed.
*Identify financial discrepancies, review, and audit accounts receivable, maintain supporting documentation.
*Maintain regular and consistent communication and assist the VP of Operations in their daily functions.
*Assist the Comptroller in their functions to support the organization.
*Conduct other administrative tasks as necessary.
Requirements and Qualifications
1 years of administrative and/or accounting experience in the construction industry preferred
*2 years of bookkeeping or accounting experience preferred.
*Knowledge of QuickBooks Desktop required.
*Superior computer skills required.
*Excellent knowledge of Microsoft products required.
*Superb mathematical skills

Pay: $17.00 - $22.00 per hour
