Your Personalised Daily Email Workflow
A simple routine designed to reduce interruptions, protect focus time, and keep your inbox under control.
1. Morning (08:30–09:00) – Intentional Start
Open your inbox once.
Quickly triage using the 4Ds:
Do it (if under 2 minutes), Defer (add to task list), Delegate, Delete.
Move anything requiring longer work into Microsoft To Do or block time in your calendar.
Avoid replying to everything—only handle what is necessary for the morning.
2. Mid‑Morning (11:00–11:15) – Light Maintenance
Review new messages.
Check for items affecting your next tasks or meetings.
Add follow‑ups to your task list instead of letting them sit in your inbox.
3. Afternoon (14:30–14:45) – Action Window
Process emails that require deeper responses.
Use Outlook quick steps or rules to file newsletters, automated messages, or CC‑only items.
4. Late Afternoon (16:30–16:45) – Wrap‑Up & Reset
Final inbox sweep.
Complete or reschedule flagged tasks.
Set your inbox up so you end the day at “clear enough”, not zero.
Helpful Setup Tips
Disable notifications during focus blocks.
Turn on Focused Inbox to separate important emails automatically.
Create three core folders:
Action Needed, Waiting For, Reference.
Use snooze for messages you want to revisit at a more appropriate time.
